Crewsie, LLC (“Crewsie,” “we,” “us”) operates the Crewsie websites and software services (collectively, the “Service”) for businesses and their authorized users. This Privacy Policy describes how we collect, use, and share information in connection with the Service. This is a practical startup policy draft—not a substitute for advice from your own attorney.
1. Who this applies to
- Organization users: people who create an account or are invited to use Crewsie on behalf of a company or team (for example owners, dispatchers, and technicians).
- End users of our customers: for example, individuals who text a phone number your organization connects to Crewsie, or use a link we host on your behalf (such as an invoice or quote link). Your organization decides how those channels are used; we process information as described here to provide the Service.
2. Information we collect
Depending on how you use Crewsie, we may process:
- Account and profile: name, email, phone, role, organization membership, preferences, and similar profile fields you or your admin provide.
- Authentication data: handled by our authentication provider (for example sign-in identifiers and security tokens). We do not store your password in plain text.
- Operational data you enter: customers, jobs, schedules, messages, files, quotes, invoices, notes, and other business records stored in the product.
- Communications metadata and content: when you use messaging features, including SMS-related data as configured by your organization.
- Technical and security data: IP address, device and browser type, timestamps, diagnostic logs, and error reports to help us operate and secure the Service.
- Usage and product telemetry: events we log to understand how the Service is used and to improve reliability (for example certain actions in the app).
- Payment-related data: when payment features are enabled, payment information is processed by our payment processor; we do not store full payment card numbers in place of the processor.
3. How we use information
We use information to:
- Provide, maintain, and improve the Service;
- Authenticate users and route data to the correct organization (“tenant”);
- Deliver messaging, notifications, and features you enable;
- Detect, prevent, and address abuse, fraud, and technical issues;
- Comply with law and enforce our agreements; and
- Communicate with you about the Service (for example support responses).
4. AI-assisted features
Some features may use third-party artificial intelligence models to generate suggestions, drafts, or assist with workflows (for example productivity or messaging assistance). AI output can be inaccurate. Your organization is responsible for reviewing content before it is relied on or sent to customers where applicable. Content you submit to those features may be sent to our AI vendors as needed to provide the feature. Retention and vendor settings should be confirmed with your counsel and documented when finalized.
5. How we share information
We share information with service providers that help us run Crewsie, including for example:
- Cloud hosting, database, and authentication (Supabase and related infrastructure);
- SMS and voice delivery (Twilio) when those features are enabled;
- Email delivery (Resend) for transactional email;
- Payment processing (Stripe) when payment features are enabled;
- AI processing (OpenAI) when AI-assisted features are used;
- Error monitoring (Sentry);
- Rate limiting or related infrastructure (for example Upstash);
- Maps or location providers (for example Mapbox) when enabled;
- Other integrations you or your organization enable (for example accounting or calendar).
We may also disclose information if required by law, to protect rights and safety, or in connection with a business transfer (for example a merger) subject to appropriate agreements. [ATTORNEY: subprocessors table, transfer mechanisms, and DPA language.]
6. Cookies and similar technologies
We use cookies and similar technologies that are necessary to operate the Service—for example to keep you signed in through our authentication provider. We may store a locale or preference cookie where applicable. 7. Retention

8. Security
We take reasonable administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure. We do not publicly claim formal certifications (such as SOC 2) unless and until we complete them and publish accurate statements.
9. Your choices and rights
Organization users: many requests are handled by your organization’s administrator (for example access to your team’s data). You may also contact us at support@crewsie.com for privacy-related requests.

10. Children
The Service is intended for businesses and is not directed at children under 16. We do not knowingly collect personal information from children under 16.
11. International processing
